Item Units

Item Units settings allow you to manage the measurement units used for your products and services in Lekha. You can create, edit, and organize units like pieces, kilograms, liters, and many others to accurately track your inventory and sales.

Accessing Item Units Settings

  1. Navigate to Settings from the main menu
  2. Click on General from the settings categories
  3. Select Item Units from the general settings options

Item Units Overview

The Item Units page displays all configured measurement units for your organization in a list format showing:

  • Name: Display name of the unit (e.g., “Kilogram”, “Piece”, “Liter”)
  • Unique Quantity Code: Standard code for the unit (e.g., “KGS”, “PCS”, “MLT”)

Managing Item Units

Creating New Item Units

  1. Click the + New button at the top of the units list
  2. Fill in the required information
  3. Save your new unit

Editing Existing Units

  1. Click on any unit row in the list
  2. Modify the unit details as needed
  3. Save your changes

Deleting Units

  1. Go to the edit page for the unit you want to remove
  2. Click the Delete button
  3. Confirm the deletion

Important: You can only delete units that are not being used by any items in your inventory.

Item Unit Fields

Unit Information

Name (Required)

  • Enter a descriptive name for the unit
  • Examples: “Kilogram”, “Piece”, “Square Meter”, “Dozen”
  • Maximum 20 characters allowed
  • Use clear, recognizable names for your team

Unique Quantity Code (Required)

  • Select from standard measurement codes
  • Choose the code that best matches your unit type
  • This ensures compatibility with business standards

Lekha provides 44 standard measurement unit codes to choose from:

Weight Units

  • GMS - Grams
  • KGS - Kilograms
  • QTL - Quintal
  • MTS - Metric Tons
  • TON - Tonnes

Length Units

  • CMS - Centimeter
  • MTR - Meters
  • KME - Kilometre
  • YDS - Yards

Area Units

  • SQF - Square Feet
  • SQM - Square Meters
  • SQY - Square Yards

Volume Units

  • MLT - Millilitre
  • KLR - Kiloliter
  • CBM - Cubic Meter
  • CCM - Cubic Centimeter
  • UGS - US Gallons

Best Practices

Choosing Unit Names

  • Use names your team easily recognizes
  • Be consistent with naming conventions
  • Consider how units appear on invoices and reports
  • Use standard business terminology

Selecting Quantity Codes

  • Choose codes that match your industry standards
  • Select the most specific code available
  • Use “OTH” (Others) only when no standard code fits
  • Consider customer and vendor familiarity with codes

Unit Management

  • Create units before adding items to inventory
  • Review and clean up unused units periodically
  • Ensure units are appropriate for your business type
  • Document special units for team reference

Troubleshooting

Common Issues

Cannot Delete Unit

  • Check if the unit is being used by any items
  • Remove the unit from items before deleting
  • Consider creating a new unit instead of deleting

Duplicate Unit Names

  • Each unit name should be unique
  • Use descriptive names to avoid confusion
  • Consider adding context (e.g., “Meter - Length” vs “Meter - Area”)

Wrong Quantity Code

  • You can edit units to change quantity codes
  • Ensure the new code better matches your unit type
  • Consider impact on existing reports and documents
